If your program uses Calendar Connect, you can choose to connect your Google or Microsoft calendar to Mentorloop. This notice explains what Mentorloop accesses, what it keeps, and your rights.
If your Integrations page shows a list of calendar providers rather than a single Link my calendar button, your program uses a different calendar integration — see Privacy for participants using calendar integrations.
Connecting is optional
You never have to connect a calendar. Mentorloop works without it — you'll receive normal calendar invitations by email instead, and you can still tell Mentorloop when you're generally available.
If your organization has connected calendars on everyone's behalf, you can still disconnect your calendar, or connect your own instead, and yours will be used.
What does Mentorloop access?
When you're busy. Nothing else.
Mentorloop asks your calendar provider for the periods when you're busy or free. It does not ask for — and cannot see — your event titles, descriptions, locations, attendees, organizers, or attachments.
So when your mentoring partner looks for a time to meet, they see that you're free at 2pm Thursday. They can't see what you're doing at 3pm, who with, or where.
What can Mentorloop do to my calendar?
That depends on what you chose when you connected.
If you chose "Add meetings to my calendar": Mentorloop can create, update, and cancel the mentoring meetings you organize, on your own calendar. That includes changes your loop partners make: if they reschedule or cancel a meeting you organized, Mentorloop updates it in your calendar. It never touches any other event.
If you chose "See my availability only": Mentorloop cannot change your calendar at all. You receive ordinary calendar invitations by email, which you accept yourself.
You can change your mind at any time by reconnecting from Account settings → Integrations.
What does Mentorloop store?
Your busy times are not stored. They're read at the moment someone is looking for a time to meet, used to work out which times suit everyone, and then discarded. There's no copy of your calendar anywhere in Mentorloop.
What is kept:
- A secure credential from your calendar provider, so Mentorloop can ask about your availability without asking you to sign in every time. It's encrypted, and it's destroyed the moment you disconnect.
- Your availability rules — the weekly hours you've said you're happy to be booked. That's your own setting, not calendar data.
That's all.
Where is my calendar data processed?
Inside Mentorloop's own cloud environment, in the same region as the rest of your Mentorloop data. The only parties involved are your own calendar provider — Google or Microsoft — and Mentorloop. No other company receives it.
Who at Mentorloop can see it?
Nobody can see what's in your calendar, because Mentorloop doesn't hold it and doesn't have permission to ask for its contents.
Your mentoring partner sees when you're free, and your Program Coordinator sees the mentoring meetings in your program — the same as they always have. Neither sees anything else in your calendar.
How do I disconnect?
Go to Account settings → Integrations and select Disconnect. The credential Mentorloop holds is destroyed immediately, and for a Google calendar, Mentorloop also revokes its access with Google. Your availability stops being read and no further meetings are added to your calendar.
Meetings already in your calendar stay there. They're yours.
If you connected a Microsoft calendar, Microsoft doesn't allow an app to remove its own permission. Mentorloop destroys its credential and can no longer access anything, but the Mentorloop entry stays listed in your Microsoft account until you remove it:
- Personal Microsoft account: account.live.com/consent/Manage
- Work or school account: myapps.microsoft.com
Google removes the permission at the provider straight away, so there's nothing extra to do.
You can also revoke Mentorloop's access directly with Google or Microsoft at any time, without going through Mentorloop at all. If you do, Mentorloop will notice and simply ask whether you'd like to reconnect.
