How to remove (and re-add) a Participant

This article covers how to remove participants from your mentoring program in Mentorloop, what options you have when removing them (including the Rejoin Program feature), what participants see after being removed, and how to manually re-add them.

How do I remove a single participant?

To remove a single participant from your program:

  1. Go to Manage program from the left sidebar and click Participants

  2. Search for the participant you wish to remove

  3. Click their name, then scroll down and click Remove Participant

  4. Click Confirm to remove the participant from your program

How do I remove multiple participants at once?

Select all participants you wish to remove from the participant list, then click the Remove icon at the top of the list.

What options do I have when removing participants?

Whether you are removing one participant or many, a pop-up will present two options:

  • Allow participants to rejoin the program? — If set to Yes, removed participants can rejoin on their own the next time they log in. If set to No, they will need to contact you or another PC to be manually re-added.
  • Notify participants? — Optional. If you've already communicated the change outside of Mentorloop, you can skip the in-platform notification.

Removing a participant archives their loops, it does not close them. Close a participant's loops before removing them to avoid re-opening old loops if they are re-added later.

What do removed participants see when they log in?

Removed participants are informed that they have been removed from the program. What they see next depends on the rejoin setting you chose:

  • Rejoin enabled: The participant can select "Rejoin program", which directs them back to the signup form to review and update their details before re-entering the program.
  • Rejoin not enabled: The participant will need to reach out to a PC to request to be manually re-added.

Can a participant permanently leave a program?

Yes. Participants can select "Remove program from my list", which removes access to the program entirely. If they later wish to rejoin, they will need to contact a PC to be manually re-added.

How do I manually re-add a removed participant?

To add one or more participants back to the program:

  1. Go to Participants from the left sidebar of your Dashboard
  2. Change the Status filter at the top of the list to Removed
  3. Select the participant(s) you wish to re-add
  4. Click Un-remove Participant and Confirm

Profile, Account and Registration Form Ownership:

Participant registration forms and profiles are only editable by participants themselves, Program Coordinators can not edit participant profile, role or sign-up form data. This is by design, as the data is owned by the participant. 

If profile fields need to be updated due to incorrect or outdated information, participants can do this via their Account Menu >  Program Profile, edit the relevant fields. 

A participant can access and update their profile at any time! We encourage participants to review profile information regularly, ensuring profile data remains accurate. This allows Mentorloop to consistently deliver high-quality matches, based on current objectives, skills and experience.  

What is Rejoin Program in Mentorloop?

Rejoin Program allows participants who have been removed from a mentoring program to re-enter the program on their own, without needing to contact a PC. When enabled, removed participants are directed back to the signup form to update their details and rejoin when they're ready.

Rejoin helps PCs maintain an engaged mentoring program by removing participants who:

  • Appear disengaged
  • Temporarily need a break
  • Have finished a cohort

Whilst allowing them to opt back in when they're ready, or when the next cohort launches.

Best practices for using Rejoin Program

  • Close loops before removing: Removing a participant archives their loops but does not close them. Close a participant's loops first to avoid re-opening old loops if they rejoin later.
  • Use filters for bulk removal: Filter your participant list, for example, by those who haven't been active in the past 6 months, then select and remove them in bulk with the rejoin option enabled.
  • Communicate outside the platform if needed: If you've handled the communication separately, you can skip the notification to avoid duplicate messaging.
