How to close an active Loop:
-
Navigate to the Loops page via the navigation bar on the left hand side
-
Search for the Loop you want to close
- As a Program Coordinator, you can generate a close loops survey for your participants simply by selecting Yes to the notification prompts.
-
Confirm
How to remove multiple Loops:
You can bulk select mentoring loops to close
- Simply tick the box beside each loop you want to close
- Select the close loops icon where you will be prompted to notify participants of the closure and enable them to complete the close loop survey.
- Confirm the changes
There is also an option to include a message as to why you are closing their loop. This will ensure participants are aware of what is going on in your mentoring program and know what next steps they might need to take - utilise the self match feature or wait to be matched using the Algorithm?
How to close a Group Loop:
- Navigate to the Loops page via the navigation bar on the left hand side
- Search for the Group Loop you'd like to close > close group loop
Members can still view previous conversations. Closing a group loop will not remove the members of the group. If you do not want participants to be able to access the previous details, they will first need to be removed from the group.
How to re-open Loops:
-
Navigate to the Loops page and change the filter from Loop Status: Active & Draft to Loop Status: Closed by PC, Closed by Participant or Archived
-
-
Select the loop and Reopen this loop
How to reactivate an auto-cancelled request?
For those mentoring programs that have the self-match feature enabled where participants can request for their mentoring connections, keep in mind that when a request is left unanswered for 2 weeks it will be automatically cancelled.
If a participant reaches out to the Program Coordinator informing them that they want to accept this match, you will simply need to manually re-create the match in the Loops page.
