The Program Management Playbook: Templated Communications gives Program Coordinators ready-to-use message templates and practical guidance for every stage of a mentoring program, from matching through to program close.

Who is this for?

This playbook is designed for Program Coordinators managing a Mentorloop program. It includes templated bulk messages you can copy, customise, and send directly from the Mentorloop platform to keep participants engaged at each stage of their mentoring journey.

What does the playbook cover?

The playbook is organised into three sections:

  • Mentorloop Milestones — Templates and guidance for each milestone stage: Matching (Smart Match, Self Match, and Manual Match), First Meeting, Grow Together, and Levelling Up. Includes tips for filtering participants by milestone and prompting action when participants stall.
  • Maintaining Momentum — Templates based on common Sentiment page findings, loop inactivity signals, goal-setting nudges, and monthly bulk messages for each month of the year. Also includes guidance for Reverse Mentoring and Group Mentoring initiatives.
  • Managing Your Program — Guidance and templates for relaunching a program (closing loops, re-matching, opt-out communication), handling inactive participants, and formally closing a program at end of term.

How do I send bulk messages to participants?

All templates in the playbook are designed to be sent via Mentorloop's bulk message functionality. You can filter participants by milestone, role, or activity level before sending to ensure the right message reaches the right people at the right time.
