This guide is for Program Coordinators

As a Program Coordinator (PC), you manage the day-to-day running of your mentoring program, from recruitment and matching through to measuring outcomes. Use the sections below to find what you need at each stage of your program.

How do I get started with Mentorloop?

Getting started covers everything from promoting your program to prospective participants through to completing your first round of sign-ups. You'll learn how to set up your signup form, configure your program settings, and understand the key parts of the Mentorloop platform.

  • Program marketing and recruitment — message templates, communication tips, and strategies to attract the right mix of mentors and mentees.
  • Signup forms — configure the questions participants answer when they join your program. These responses power your matching.
  • Understanding your program dashboard — navigate the Mentorloop platform as a PC, including participant management and program settings.

What matching options does Mentorloop offer?

Mentorloop offers three matching styles to suit the needs of your program. You can use one style exclusively or combine approaches across different cohorts.

  • Self Match — participants browse profiles and send match requests to each other. Best for programs where autonomy and personal choice are priorities.
  • Manual Match — you review profiles and assign matches yourself. Best for smaller programs or where coordinator oversight is important.
  • Smart Match — Mentorloop's AI-powered matching algorithm surfaces the most compatible pairings based on participant profile data, reducing bias and coordinator workload. Available on Mentorloop Enterprise.

Participants who aren't currently matched, including those who signed up during a closed intake, appear in the Mentoring Bench, where you can invite them into the program when the time is right.

How do I keep my program on track and measure its impact?

Once participants are matched, Mentorloop gives you the tools to maintain engagement, gather feedback, and demonstrate the value of your program.

  • Program analytics — track loop activity, meeting frequency, and overall engagement health from your dashboard.
  • Surveys — send check-in surveys to participants and review aggregated responses to spot trends and identify participants who need support.
  • Kudos and Program Badges — participants can send kudos to recognise great mentoring moments. As a PC, you can also create and award custom Program Badges to celebrate milestones and achievements. Program Badges are available on Mentorloop Enterprise.
  • Profile reviews — request updated profile information from participants to keep your matching data current.

How do I grow and sustain my mentoring program?

A thriving program grows over time. This section covers strategies to expand your participant base, run multiple cohorts, and keep momentum across program cycles.

  • Recruiting new participants — bring in additional mentors and mentees mid-program, including inviting participants from the Mentoring Bench.
  • Running program rounds — close a matching round and open a new intake to keep your program fresh and give participants new opportunities.
