Bulk Invite lets you send program invitations to a group of people at once, by uploading a CSV or entering emails manually. Mentorloop sends the invitation emails on your behalf, filters out duplicates and invalid addresses, and lets you track who's joined from your Signups > Invitations page. Where to find Bulk Invite
Click the program name dropdown at the top of your dashboard and select Invite participants. If your organisation uses Mentoring Bench, you can also bulk invite existing participants into a new program directly from the Bench.
How does Bulk Invite help me control who joins my program?
When you share a public signup link, anyone with the link can join, which is great for open programs, but harder to manage if you want to curate your participant list. With Bulk Invite, only the people on your list receive an invitation. This gives you visibility and control over exactly who you're bringing into the program before it fills up.
You can also use Bulk Invite to run an expressions-of-interest stage: gauge demand and build your list before opening the program more broadly. It works well for a first-come, first-served intake or for recruiting specific cohorts like leaders, alumni, or new starters.
How do I send a bulk invitation?
Click the program name dropdown at the top of your dashboard and select Invite participants. From there, you have two options:

Upload a CSV file (max 2MB) — Upload a list of participants with their details. Before uploading, you can download two helpful reference files from the Bulk Invite screen:
- Signup Form Fields CSV — a reference list of your signup form fields and their accepted values.
- Bulk Invite Template CSV — a ready-to-fill template with the correct columns for participant details.
Mentorloop will only store the fields you explicitly map in the next step.

Enter participants manually — Type or paste one participant per line in the format
email@example.com, Name. Name is optional, but including it sends a personalised invitation. You can use a first name, last name, or full name.
Once you confirm the invite, Mentorloop sends an invitation email to each person on your list. When recipients click through, their email address is pre-filled on the signup form, so they don't have to type it in themselves.
Can I bulk invite participants from a previous program?
Yes, if your organisation is on a multi-program plan, you can invite existing participants into a new program directly from the Mentoring Bench. The Bench gives you a consolidated view of participants across all your programs, making it easy to identify and re-invite people who have previously been active but aren't currently in a program.
To do this, go to Mentoring Bench from your organisation dashboard, select the participants you want to invite, and use the Bulk Invite option from the Bench. This saves you from manually re-entering their details.

How do I track who has accepted their invitation?
After sending, go to Signups > Invitations to see the status of each person you've invited. You can see whether they've joined the program and resend the invitation to anyone who hasn't accepted yet, all from the same screen.
What format does my CSV need to be in?
From the Bulk Invite screen, download the Bulk Invite Template CSV to get a correctly structured file for your upload. If you're unsure what values to use for specific fields (for example, dropdown options in your signup form), also download the Signup Form Fields CSV, this lists all your signup form fields and their accepted values.
Email address is required; name is optional. Any additional columns can be mapped to your signup form fields during the upload step, Mentorloop will only store the fields you explicitly map. It automatically filters out invalid and duplicate email addresses before sending, so you don't need to clean the list yourself.
Maximum CSV file size is 2MB.
