How do Recurring Meetings work?

Recurring meetings let you set your mentoring schedule once and have sessions book automatically, no manual rescheduling needed each time. The experience is slightly different depending on whether your program has calendar integration enabled.

Which experience do you have?

Check your program dashboard. If you see a Link my calendar button, your calendar isn't connected yet, follow the path below. If that button isn't visible, your program likely has calendar integration active. Both journeys are covered on this page.

How do I set up a recurring meeting without calendar integration?

From inside your loop, go to the Meetings tab and select + New to open the meeting scheduler. Pick your date, time, and meeting type, then set your repeat frequency.

Choosing your frequency

Click Doesn't repeat to open the frequency options:

  • Weekly — then choose every 1, 2, 3, or 4 weeks
  • Monthly on the [Xth Day] — repeats on the same day-of-week each month (e.g. Monthly on the 1st Thursday)

Fill in your location or meeting type, then hit Save.

What does the Meetings tab show?

Your next upcoming session appears in the Up next section of the Meetings tab. Mentorloop will automatically queue the next occurrence each time one is completed, so your series continues without any manual rebooking.

Adding to your calendar manually

Each meeting card includes Outlook/iCal and Google Calendar buttons. These let you export a single session to your calendar, they're one-time downloads, not a live sync. You'll need to add each session as it comes up, or connect your calendar to automate this.

How do I set up a recurring meeting with calendar integration?

Go to the Meetings tab in your loop and select + New, the same as above. The key difference is how you pick your date and time.

Seeing your availability

When you click the date and time field, Mentorloop opens an availability view pulled from your connected calendar. Green blocks show when you're free, click a slot to select it, then hit Confirm.

Use the Showing your availability only toggle to also see when your mentor or mentee is free, making it easier to find a time that works for both of you.

Once you've confirmed your time, set your frequency using the same options described above, add your location, and save.

Your 6 upcoming meetings

Once you save, Mentorloop immediately creates 6 upcoming occurrences and syncs all of them to your connected calendar. This blocks your preferred time slot well in advance, reducing the chance of a scheduling conflict.

As each session is completed, a new one is automatically added, so you'll always have up to 6 sessions booked ahead in your calendar.

No email reminders?

That's expected. Because your meetings are synced to your calendar, Mentorloop won't send you separate reminder emails, your calendar app handles those for you.

How do I edit a recurring meeting?

Open any upcoming meeting from the Meetings tab and click the pencil icon, then select Edit meeting.

Make your changes and save. You'll then be asked whether to apply the update to just this one session or all future occurrences.

If your calendar is connected, any changes you make in Mentorloop will update the event in your calendar automatically.

How do I cancel recurring meetings?

From any upcoming meeting, click the pencil icon and choose Cancel meeting. You'll be asked whether to cancel just that session or the whole series.

  • Choose All occurrences to stop the series from here on.
  • Choose This meeting only to skip a single session while keeping the rest of your schedule.

If your calendar is connected, cancelling in Mentorloop will also remove the relevant events from your calendar.
