Recurring meetings let you set your mentoring schedule once and keep it running, without rebooking every time.
This article is for programs using Calendar Connect. If your Integrations page shows a list of calendar providers rather than a single Link my calendar button, see How do Recurring Meetings work? instead.
Setting up a recurring meeting
From inside your loop, go to the Meetings tab and select + New to open the meeting scheduler.
Pick your time. If you have a calendar connected, Mentorloop shows you when everyone is free — suggested times first, then a full grid if you'd rather browse. If you don't, you'll see times based on everyone's availability rules.
Set your frequency. Click Doesn't repeat to open the options:
- Weekly — then every 1 to 8 weeks
- Monthly on the [Xth Day] — the same day-of-week each month, for example Monthly on the 1st Thursday
- Monthly on the last [Day] — for example Monthly on the last Friday, which stays on the last one whether the month has four or five
Add your meeting type and location, then hit Save.
What happens after you save
Your next session appears in the Up next section of the Meetings tab, and the next one is queued automatically as each session passes. You'll always have your next meeting waiting without doing anything.
If your calendar is connected, the series is created as a proper recurring event in your own calendar — one event with a repeat rule, the same as if you'd set it up there yourself. Your calendar shows the whole series, and everyone invited gets an invitation from your calendar system.
Because the series lives in your calendar, moving or canceling a single occurrence in your calendar works normally, and Mentorloop keeps up.
If your calendar isn't connected, each session is created in Mentorloop and sent to everyone as a calendar invitation by email. Accept it and the meeting lands in whichever calendar you use.
Editing a recurring meeting
For any upcoming meeting from the Meetings tab, click the pencil icon, then select Edit meeting.
Make your changes and save. You'll be asked whether to apply the update to:
- This meeting only — moves one session, leaves the rest of the series where it is
- This and following meetings — changes the whole series from here on
If the meeting was booked from a connected calendar (yours or someone else's), the change updates the event in the organiser's calendar automatically, and everyone is re-invited from it.
If it wasn't, Mentorloop emails everyone in the loop, including you, an updated calendar invitation. Open the email and the meeting updates in your calendar. If your calendar app asks, accept the update. You don't need to delete the old meeting or add it again.
- This meeting only: only that session changes in your calendar.
- This and following meetings: the series changes from that session on. Earlier sessions stay as they were. If you'd changed a later session on its own, it moves to match the new schedule.
Canceling a recurring meeting
From any upcoming meeting, click the pencil icon and choose Cancel meeting. You'll be asked whether to cancel just that session or the whole series.
- This meeting only — skips a single session, keeping the rest of your schedule
- All occurrences — ends the series from here on
You can also turn off the repeat while keeping the meeting itself, using Turn off meeting repeat.
Past sessions are never removed. Ending a series stops future occurrences; the meetings you've already had stay in everyone's calendar and in your loop history, where they belong.
