Keeping participant profiles current means better matches and smarter recommendations. As a Program Coordinator, you can now ask participants to review and update their profile in a couple of clicks, without editing anything on their behalf.
What is a profile review request?
A profile review request is a prompt you send to participants asking them to check their profile and update anything that's out of date. Participants own and manage their own profiles, so rather than editing their details yourself, you send a request and they make the changes when they next log in.
You can send a request to many participants at once, to a single participant from the Participants page, or from an individual participant's profile.
Why ask participants to review their profiles?
Matching quality depends on the information participants provide. Both manual matching and Smart Match only consider what mentors and mentees have entered in their signup form, so if a profile is incomplete or out of date, the recommended matches can be off the mark. A quick profile refresh is one of the easiest ways to lift match quality across your program.
Sending a profile review request is especially useful:
- Before you run a matching round or publish Smart Match draft Loops
- When you're relaunching a program or starting a new cohort
- After a period of inactivity, to re-engage participants
- Any time you notice profiles that look sparse or outdated
How do I request a profile review from the Participants page?
The Participants page gives you two ways to send a request: a bulk action for many participants at once, or a per-participant action from the meatball menu.
Send to several participants at once (bulk action):
- Go to the Participants page from the left navigation bar.
- Use the checkboxes to select the participants you'd like to prompt. You can use the filters first (for example, by milestone or match status) to narrow the list, then select.
- In the action toolbar above the list, click the Request profile review icon.
- Review the confirmation, then click Send request.
Send to one participant (meatball action):
- On the Participants page, find the participant in the list.
- Open the meatball menu (the … options icon) on their row.
- Select Request profile review and confirm.
How do I request a profile review from a participant's profile?
You can also send a request while you're viewing an individual participant. Open the participant's profile and go to the Info tab. You'll find the Request profile review option directly above the availability buttons. Click it and confirm to send.
What happens after I send a profile review request?
Before anything is sent, you'll see a confirmation so you can check the number of participants you're contacting. Once you confirm:
- Active participants receive an email letting them know you've asked them to review their profile.
- They're prompted to review and update their profile the next time they log in.
- An activity entry is recorded on each participant's profile, so you have a clear audit trail of when the request was sent.
- Removed participants are skipped, so only active participants are contacted.
Requesting a review doesn't change anything in a participant's profile or affect their existing Loops. It simply invites them to make updates themselves.
How do I track who has been contacted or updated their profile?
The Participants page includes filters to help you follow up after sending review requests.
Filter by whether a request has been sent: Use the Profile review requested filter and select Yes or No to see which participants have or haven't been asked to review their profile.
Filter by the date a participant last updated their profile: Use the profile updated date filter to identify participants who have refreshed their details since you sent the request, and those who haven't yet.
Together, these filters make it easy to see who has acted on your request and follow up with anyone who hasn't.
Top tip: Send a profile review request a week or two before a matching round or relaunch. Then use the Profile review requested filter and the profile updated date filter on the Participants page to see who has refreshed their details, so your matches and Smart Match recommendations are based on the most current information.
Frequently asked questions
Which participants will receive the request?
Only active participants are contacted. If your selection includes removed participants, they're automatically skipped.
How will participants know I've asked them?
Active participants receive an email letting them know their profile needs a review, and they'll also see a prompt to review and update their profile when they next log in.
Can I update a participant's profile for them instead?
No. Participant profiles are owned and managed by the participant, so you can't edit their details on their behalf. Sending a profile review request is the way to prompt them to make the updates themselves.
How can I see who has updated their profile after I sent a request?
Use the filters on the Participants page. The Profile review requested filter (Yes / No) shows you which participants have been sent a request. You can then use the profile updated date filter to see who has acted on it and who hasn't yet, so you can follow up as needed.
Does requesting a review affect a participant's existing matches?
No. A profile review request doesn't change a participant's profile, availability or existing Loops. It only invites them to review and update their own information.
Can I send another request later?
Yes. You can send a profile review request whenever it's useful, for example ahead of each matching round or relaunch. As a courtesy, space your requests out so participants aren't prompted too often.
