Finding a time to meet is much easier when you can see each other's availability. Connecting your calendar lets you and your mentoring partner schedule meetings without the endless back-and-forth.
This article is for programs using Calendar Connect. If your Integrations page shows a single Link my calendar button, you're in the right place. If it shows a list of calendar providers instead, see Connect your calendar and set your availability.
Why connect your calendar?
When your calendar is connected, Mentorloop can suggest times you're genuinely free — which matters most when you and your mentoring partner are in different organizations and can't see each other's calendars.
Mentorloop only ever sees when you're busy. It never sees what your meetings are, who they're with, or where. Connecting is optional, and you can disconnect at any time.
Which calendars can I connect?
- Google — both Google Workspace (work) and personal Google accounts
- Microsoft — both Microsoft 365 (work or school) and personal Outlook.com accounts
If your calendar isn't one of these, you can still schedule meetings in Mentorloop and you'll receive normal calendar invitations by email — see What if I can't connect my calendar? below.
How to connect your calendar
Step 1
Log in, click your name or profile picture in the top right, and select Integrations. Under Calendars, select Link my calendar.
Step 2
Choose where your calendar lives — Google Calendar or Outlook / Microsoft 365 — and what you'd like Mentorloop to be able to do.
You have two options:
Add meetings to my calendar — Mentorloop schedules around your busy times and puts the meetings you organize straight into your calendar, so nothing gets missed.
See my availability only — Mentorloop schedules around your busy times but can never change your calendar. You'll get normal calendar invitations by email instead. This option is under Why we ask for this.
Either way, Mentorloop never sees your event titles, attendees, or details — only when you're busy.
Step 3
Sign in with Google or Microsoft and approve the connection. Mentorloop never sees your password.
Step 4
You're connected. Head to your loop to schedule a meeting.
Setting your availability rules
Connecting your calendar tells Mentorloop when you're busy. Your availability rules tell it when you're willing to be booked — so nobody proposes 7am on a Sunday just because your calendar happens to be clear.
In Account settings → Integrations, open your availability rules and set the hours that suit you for each day of the week. There's a Copy to weekdays shortcut if your weekdays all look the same.
Your mentoring partner can still propose a time outside these hours; they'll just see that it's outside your usual availability. These are your preferences, not a lock.
You don't need a connected calendar to set availability rules. If you'd rather not connect a calendar at all, setting your rules still lets Mentorloop suggest sensible times.
My organization connected my calendar for me
Some organizations authorize Mentorloop for everyone, so there's nothing for you to set up. You'll see:
Your calendar is connected by your organisation — there's nothing to set up.
You can still set your availability rules, and we encourage it.
If you'd rather Mentorloop used a different calendar, you can disconnect then connect your own, and it will be used instead. Your own choice always takes precedence over your organization's.
What if I can't connect my calendar?
You can still use Mentorloop fully. Schedule meetings in your loop as normal and you'll receive a standard calendar invitation by email, which you can accept to add the meeting to whichever calendar you use.
Setting your availability rules is worth doing in this case, since it's the only signal Mentorloop has about when you're free.
How do I disconnect?
Go to Account settings → Integrations and select Disconnect under Calendars.
Your availability will stop reflecting your calendar, and new meetings won't be added to it. Meetings already in your calendar stay there.
If you connected a Microsoft calendar, there's one extra step. Microsoft doesn't let an app remove its own permission, so after disconnecting in Mentorloop, the Mentorloop entry stays listed in your Microsoft account until you remove it yourself:
- Personal Microsoft account: account.live.com/consent/Manage
- Work or school account: myapps.microsoft.com
Mentorloop can't access your calendar after you disconnect, whether or not you remove the entry. Removing it just means Mentorloop no longer appears in your list of connected apps. Google accounts don't need this step; the permission is removed straight away.
Frequently asked questions
Is it safe to connect my calendar?
Yes. You sign in with Google or Microsoft directly — Mentorloop never sees your password. Mentorloop asks only for permission to see when you're busy (and, if you choose, to add the meetings you organize). It can't read your event titles, descriptions, locations, or attendees, and it doesn't keep a copy of your calendar. For the detail, see Calendar Connect: How your calendar data is handled.
Which option should I choose when connecting?
Most people want Add meetings to my calendar, because it means meetings booked in Mentorloop appear in your calendar automatically. Choose See my availability only if you'd rather Mentorloop never wrote to your calendar — you'll get email invitations instead, and everything else works the same.
I chose availability only. Can I change my mind?
Yes. Reconnect from Account settings → Integrations and choose the other option.
I have a work Microsoft account. Which one do I pick?
Outlook / Microsoft 365 covers both work or school accounts and personal Outlook.com accounts.
Can I connect an iCloud, Exchange, or other calendar?
Not currently — Mentorloop connects to Google and Microsoft calendars. If you use something else, schedule as normal and accept the email invitations you receive.
My organization needs to approve this first.
Some organizations require an administrator to approve apps before people can connect them. If you hit an approval message, your IT team can find what they need in Calendar Connect for Organizations — Guide for IT Administrators.
