Whether you're taking over a program or joining as a second coordinator, this guide walks you through the three steps to get up and running confidently on Mentorloop.

How do I get the context I need from my previous Program Coordinator?

Program Coordinators are the owners of their mentoring programs, and they hold key contextual information, why the program exists, how and when matching occurs, and program timelines. Set up a handover meeting with your predecessor to walk through this before they step back.

Key things to cover in your handover:

  • Program purpose — Why was the program created, and who does it serve?
  • Matching approach — Is matching done manually, via Self Match, or Smart Match? When does it typically run?
  • Program timeline — Key milestones, cohort dates, and any upcoming events
  • Open items — Any participant issues, support tickets, or pending actions

If you're an Enterprise customer, your Customer Success Manager can also share further context on your program's technical configuration. See Step 3 below.

Work through the resources most relevant to where your program is at. You don't need to complete everything — focus on what you'll need for your next immediate actions.

How do I connect with my Customer Success Manager? (Enterprise customers)

Reach out to your Customer Success Manager to be added to your regular strategic meetings. In these sessions, we typically cover:

  • Guidance on best-practice platform use and Program Coordinator habits
  • Troubleshooting technical issues or questions you might have
  • Strategic recommendations on best-practice mentoring program management
  • Reviewing and optimising your program configuration and feature usage
