Mentorloop Exports Glossary

Mentorloop’s export functionality gives you access to valuable data, helping you to track engagement, measure success, and optimise your mentoring program. To make the most of these insights, it’s important to understand the structure of each export file and what the data points represent.

In this article, we’ll break down the different export files available in your program, explain how they are structured, and define each data point included—so you can confidently interpret your program’s data and make informed decisions.

The Signups and Participants page allows you to select two types of exports: Activity or Profile fields.

  • Activity refers to any actions that a user or participant is taking in the Mentorloop platform
  • Profile fields will export the information that participants have used to signup 

Signups - Activity export

Export Title Definition
Role ID

The Mentorloop unique identifier for the person’s participant profile in a given program.

If your organization has multiple programs, for a given person, this ID will be different for their profiles in each program.

Name

Name of participant

Approved (True/False)

If your program has an approval process:

True = Approved to join the program

False = Waiting on approval

Verified Email (True/False)

Participants need to confirm their email to complete their application:

True = Confirmed but application not complete, or not approved

False = Email has not been confirmed

Email Email of participant
Signup Date The date and time that are participant started their signup form
Completion

The percentage of how complete a participant has filled out their signup form and completed steps to joining - this includes confirming their email address and clicking “Join” at the end of the signup form.

Last Activity Type

The last activity that a user has done in Mentorloop:

Applied for program - This is the very first activity that a signup performs

Logged in - They just logged in

Export Title Definition
Name

Name of participant

Email

Email of participant

Verified Email

Participants need to verify their email to complete their application:

Yes = Verified but application not complete, or not approved

No = Email has not been verified

Status

Status of user in Signups will be Initial

Date created

The date and time of when the user started to sign up

Completion

The percentage of how complete a participant has filled out their signup form and completed steps to joining - this includes confirming their email address and clicking “Join” at the end of the signup form.

Tags Identifies what tag has been attached to the participant by the Program Coordinator

Notes

Internal notes made by the Program Coordinator about the participants

Lists the answers provided by the participant to the program sign-up form questions

Participants - Activity export

Name

Name of participant

Email Email of participant

Profile Id

The Mentorloop unique identifier for a person in Mentorloop.

If you have multiple programs and the person is in more than one program, this ID will be the same for that person in all of their programs.

Status

Active - The participant has joined the program and can actively participate.

Removed - A PC or Org Admin has removed the participant from the program. They can no longer access Mentorloop and would need to reach out to PCs via email if they have any questions.

Mentoring Role (mentor/mentee choice)

The mentoring role that the participant has chosen.

Mentor - The participant is a Mentor
Mentee - The participant is a Mentee

Either - The participant has elected to be either a mentor or a mentee.

Signed up The date and time of when the participant moved from Signups to Participants
Last Activity At The date and time of when the participants Last Activity was
Last Activity

The last activity that a participant has done in Mentorloop:

Logged in, Opened a nudge email, Clicked a link within a nudge email, Submitted a MQS survey, Chatted in loop with X, Requested a match with X, Marked a notification as read, rejoined program,

Open Loops The number of active Loops a participant
Group Loops

The number of active Group Loops a participant has joined

Closed Loops The number of 1:1 closed Loops that that participant has previously been part of 
Goals The number of Goals that a participant has created in the platform
Current milestone

The current Mentorloop Milestone that the participant is in:

Matching, First meeting, Grow Together, Levelling Up

Name

Name of participant

Email Email of participant

Profile Id

Identifies the unique participant
For Mentorloop use

Status

User - The participant has joined the program and can actively participate.

Indicates if participant has connected their  Teams Video (Yes/No)

Calendar connected

Indicates if participant has connected their calendar (Yes/No)

Timezone

Identifies which timezone a participant is located in

Self-Match Activity (if Self Match is enabled)

Status Status of the self match request (Pending, Matched, Declined)
Type

Identifies if the participant is requesting a Mentor or Mentee match (requestingMentor, requestingMentee)

Requester Name of participant requesting a match

Requester Role (Mentor and Mentee, Mentee or Mentor) 

Mentoring role of the participant requesting a match  (Mentor and Mentee, Mentee or Mentor)

Requester Email Email of the participant requesting a match (Mentor, Mentee, Mentor and Mentee).
Responder Name of participant who needs to respond to the request
Responder Role Mentoring role of the participant who needs to respond to the match request.
Responder Email Email of the participant who needs to respond to the match request.
Decline Reason

Responder's reason for declining the request

(Skills don't match, No time capacity, Wrong location, Don't think I can help, Other, Unknown) 

Created at The date and time of when the match request was created
Updated at

The date and time of when the request was updated

(Accepted, Declined, Participant cancelled, PC cancelled, Archived)

Loops export

Export Title Definition
Loop (Mentor on the left)

Either the names of the two participants who are in a 1:1 mentoring Loop or the name of a Group Loop.

For 1:1 loops, the Mentor is always identified first.

Loop Type

Identifies how the Loop was created (Manual Loop, Self Match or Group).

Loop Status

Identifies the current status of the Loop

(Active, Draft, Closed by participant, Closed by PC, Archived)

Created At

The date and time of when the match was was created/the request was approved.

Closed At The date and time of when the Loop was closed
Closed by

Identifies who closed the Loop 

Closed by PC, Closed by participant, Archived

Closed Reason - Mentor Outlines the reason for closure from the Mentor.
Closed Reason - Mentee Outlines the reason for closure from the Mentee.
# Interactions

The number of interactions occurring within the Loop

Interactions refer to any activity within the Loop

# Members The number of participants in the Loop
# Coordinators

The number of Program Coordinators in the Loop (for Group Loops only). 

Last Activity At The date and time of when the participants Last Activity was
Last Activity

The most recent activity type that has been completed by a participant in the Loop

(X submitted an MQS Survey, X logged a meeting, X chatted, Moved to a new milestone: 'Grow Together').

States the current milestone that the Loop is in

# Mentor Messages

The number of messages that a mentor has sent in the Loop

# Mentee Messages

The number of messages that a mentee has sent in the Loop

The amount of times an MQS survey has been submitted

Mentee MQS

The average of each mentee's most recent MQS score. In a 1-1 Loop, there is only one mentee, so this is their most recent score.

Mentor MQS

The average of each mentor's most recent MQS score. In a 1-1 Loop, there is only one mentor, so this is their most recent score.

Loop MQS

The average of every Loop member's most recent MQS score. In group loops, this includes people who have selected to be either a mentor or mentee.

The number of files that have been sent within the Loop

#Goal Activity

The number of Goals shared within the Loop

# Zoom Meetings

The number of non-cancelled, past Zoom meetings

# Teams Meetings

The number of non-cancelled, past Microsoft Teams meetings

# Video Calls

The number of non-cancelled, past video call meetings

# Other Meetings

The number of non-cancelled, past In person or Phone call meetings

# Future Meetings

The number of future meetings currently scheduled within the Loop

# Cancelled Meetings

The number of meetings cancelled within the Loop

Sentiment export

Name

Name of participant responding to a survey

Other Profile Name

Name of participant receiving the feedback

Mentoring Role

Mentoring role of the participant responding to a survey.

Responded Date

The date and time of when the participant responded to the survey

Survey Type

The type of sentiment survey:

Mentoring Quality Score (MQS) 

Post-Meeting

Close Loop

Score

The score provided by the participant who responded to a survey.

Comment Additional comments provided by the participant who completed the survey.
Reason

In the Close Loop survey, participants can provide additional information:


Run its course, Achieved my goals, Not suitable, No time, No response, Left program, Inappropriate behaviour, Other, Never got started

Inappropriate

If inappropriate is selected, column will show TRUE which will alert the Program Coordinator

Profile ID

The Mentorloop unique identifier for a person in Mentorloop.

Loop ID

The Mentorloop unique identified for a Loop

Mentoring Role

The mentoring role that the participant has chosen.

Mentor - The participant is a Mentor
Mentee - The participant is a Mentee

Either - The participant has elected to be either a mentor or a mentee.

Role ID

The Mentorloop unique identifier for the person’s participant profile in a given program.

Profile ID

The Mentorloop unique identifier for a person in Mentorloop.

If you have multiple programs and the person is in more than one program, this ID will be the same for that person in all of their programs.

Title

Title of goal created

Created At

The date and time of when the goal was created

Timeline

The date and time of when the goal is expected to be completed

Status

Current status of the goal.

In progress or Completed

Completed At

The date and time of when the goal was completed

Total Tasks

The total number of tasks associated with the goal

Completed Tasks

The total number of tasks associated with the goal that have been completed.
