Mentorloop's built-in Surveys tool lets you create, send, and analyse custom feedback surveys at any stage of your mentoring program, with no login required for participants to respond.
Custom Surveys vs. the Sentiment Survey System
Custom Surveys are created and sent by you, whenever you need them. They are separate from Mentorloop's built-in Sentiment Survey System (MQS, Post-Meeting, and Close Loop surveys), which run automatically and cannot be edited.
What types of surveys can I send in Mentorloop?
You can send an Impact, Pulse Check, or NPS survey. Each type comes with a templated set of questions relevant to that survey's focus, which you can use as-is or tailor to suit your program's needs.
When should I send a custom survey?
Custom surveys work well at key milestones, such as the start, mid-point, or end of your mentoring program. You can also send them after events or workshops. Whenever you need targeted insights to inform decisions, a custom survey is a useful tool.
What does the survey look like from the participant's perspective?
Participants receive an email from you (their Program Coordinator) with a link to the survey. Clicking the link opens a webpage where they can complete the survey, no login required. The format is simple and mobile-friendly, encouraging a higher response rate.
Once a participant submits their response, they'll receive a follow-up email with a Continue to Mentorloop button, directing them back into the platform to keep their mentoring momentum going.
Can I choose who receives this survey?
Yes, you can send your survey to:
- Everyone
- Mentors
- Mentees
- Eithers (if applicable to your program)
- Custom (select specific participants)
You can also customise the email participants receive to include a more personal message.
Do participants need to log in to complete the survey?
No. Participants complete surveys via a link sent to their email, no login required.
Can I share a survey via a link or URL?
No. Custom surveys are sent directly to participants via the Send action in the survey builder, there is no standalone shareable URL. Your available options for any saved survey are Send, Edit, Duplicate, and Delete.
What types of questions should I ask?
Use a combination of:
- Linear scale (number rating) or Emoji scale (emoji rating)
- Multiple choice (single or multi-select)
- Free text
You can use templated questions to help you get started, or create your own based on the insights you want to gather.
Can I add more than 5 questions?
This depends on your plan:
- Pro: Select up to 5 questions from a bank of pre-created questions. Questions are used as-is, editing question wording or answer options is not available on Pro. View the full question bank here.
- Enterprise: Your survey can include up to 50 questions, with the flexibility to customise pre-created questions or add your own.
Regardless of your plan, we recommend keeping surveys between 3 to 5 questions to maximise response rates. Find out why here.
Can I preview my survey before I send it?
Yes. Click the 👁️ preview icon in the top-right corner of the survey builder to view your full survey before sending.
Will I see who has and hasn't responded?
Yes. The survey dashboard shows real-time response tracking. From there you can also:
- Download individual responses (CSV)
- Resend the survey to non-responders

What reporting tools are available?
A survey summary is displayed at the top of your results view, showing when the survey was sent, who it was sent to, and the response rate.
- Quantitative questions (linear scale or multiple choice) are aggregated and displayed as bar charts.
- Qualitative questions (free text) can be summarised using ✦ AI, once the survey is closed, click Generate AI summary to produce a summary displayed in the visual report. The button is disabled while the survey is still open or if a free-text question has received no responses.
Survey data can be exported in two formats:
- A PDF of the visual report summary
- A CSV file containing all individual responses
Where can I see survey insights and feedback?
All survey results live in the Surveys tab of your Program Coordinator dashboard, where you can view insights, export data, and resend if needed.
What's the difference between custom surveys, MQS, and Post-Meeting surveys?
- Custom Surveys: Created and sent by you, anytime, for any purpose.
- MQS (Mentoring Quality Score): Sent automatically at 30 days, then every 60 days, to measure the quality of your participants' mentoring experience.
- Post-Meeting Surveys: Short prompts after meetings to encourage reflection and ongoing feedback.
