There are four ways to invite participants to your Mentorloop program: Bulk Invite, copying your unique signup link, inviting from the Mentoring Bench, or using a role-specific signup form URL.
Only share your signup link with intended participants
Your program's signup link is unique to your program. Anyone with the link can sign up, so only share it with people you want to join.
How do I bulk invite participants to my program?
Use Bulk Invite to add multiple participants at once and import their key profile information for a smoother onboarding experience. Download the CSV template from your program settings, fill in participant details, and upload it to send invitations in one go.
A few things to know
- You can bulk invite up to 500 participants at a time. To invite more, repeat the process in batches of 500.
- Pre-populated fields are editable by participants. When they open their signup form, they'll be told some fields have been filled in by their Program Coordinator and can review and update as needed.
- Once sent, invited participants appear in the Invitations tab, where you can track status, re-send reminders, and approve or decline suggestions.

How do I copy and share my program's signup link?
Your program's signup link can be found in your program settings. Copy the link and send it directly to the people you want to invite. Only share it with intended participants, anyone with the link can sign up.
How do I invite participants from the Mentoring Bench?
The Mentoring Bench lets you invite existing Mentorloop users, people already on your organisation's bench, directly into a program. This is ideal for reactivating past participants or running a new intake without asking people to start from scratch.
Select the participants you want from the bench, then use the Invite new participants button. The button adapts based on your selection: with no participants selected it opens the standard invite flow; once you select one or more people it changes to Invite [X] participant/s to invite them directly.
Choose the open program you're inviting them into, then map their existing profile fields to the destination program's signup form.
Where possible, profile data is pre-filled from each participant's existing signup forms, using the most recently updated value for each field. Participants still complete the destination program's signup form, but pre-filled fields are clearly indicated so they only need to review and confirm, not fill everything in again.
What do the invitation results tell me?
After sending, a results screen shows the outcome for each participant:
- Removed from the target program — they need to be un-removed from within that program before they can be reinvited.
- Already invited or already active — no duplicate invite is sent. Resend from within the program itself if needed.
- Previously benched from that program, or new to it — they're reinvited and will appear in the Invitations tab of your program while their invitation is pending.

Using "Programs (not in)" to recruit for a new intake
Before selecting participants, filter the bench by Programs (not in): [your new program] to find everyone in your organisation who isn't already in it. Select them, then invite in bulk, no manual list-building required.
How can existing participants suggest a mentor or mentee?
Participants already in your program may have someone specific in mind that they'd like to connect with. This feature allows them to suggest a potential mentor or mentee from the bottom of their participant dashboard.

Suggested mentors or mentees don't join automatically. They appear in the Invitations tab of your program, waiting for your approval before being added.
How do I create a role-specific signup link?
You can send a signup link that pre-selects a participant's role, mentor, mentee, or either, by adding a parameter to the end of your program's signup form URL.

When a new participant clicks a role-specific link, their role will already be selected on the form. Please note that they can still change this.
