Staying present in a mentoring conversation is easier when you're not scrambling to write everything down. With AI meeting notes and transcripts, Mentorloop can capture your online meeting for you, so you can focus on the discussion and pick up the detail afterwards.

What are AI meeting notes and transcripts?

Once your calendar is connected, Mentorloop can send an AI notetaker to join your scheduled online meeting. Once the meeting ends, it saves a written summary as a note in your loop and stores the full transcript as a file, so nothing important is lost.

What do I need to use it?

A few things need to be in place before the notetaker can join a meeting:

  • You have connected your calendar to Mentorloop.
  • You have connected Zoom or Microsoft Teams, and the meeting is booked as a Zoom or Teams meeting.

If you don't see the notetaker option when booking a meeting, your calendar or video conferencing may not be connected yet. Your Program Coordinator can confirm what's switched on for your program.

How do I add the notetaker to a meeting?

When you schedule a Zoom or Microsoft Teams meeting from your 1:1 loop, you'll see an option to enable the notetaker. Switch it on before you save, and Mentorloop will take care of the rest. Both you and your mentoring partner are notified that the notetaker will be joining, so there are no surprises on the day.

Where do my notes and transcript appear?

After the meeting wraps up, Mentorloop adds two things to your loop:

  • A meeting summary, saved as a note on your loop, covering the key topics, goals discussed and actions agreed on. You can edit it like any other note.
  • A transcript file, saved to your loop's Files tab for reference.

AI-generated notes are marked so you can tell them apart from notes you've written yourself.

How do I remove the notetaker from a meeting?

You're always in control. If you'd prefer the notetaker didn't join, you can detach it from a meeting at any time before it starts by editing the meeting in your loop.

AI notes are a helpful starting point, not a perfect record. It's worth a quick read-through to check the summary reflects what was actually discussed, and to tidy up any actions before you rely on them.

Is my meeting data private?

Mentorloop's calendar integration is powered by Cronofy, which operates to strict security and privacy standards. Your meeting notes and transcript are stored in your loop and shared with your mentoring partner in the same way your other notes are. Which meeting types are supported?

The notetaker joins online meetings booked through Mentorloop as Zoom or Microsoft Teams meetings. In-person meetings aren't captured in this first version.

Does my mentoring partner know the notetaker is joining?

Yes. When the notetaker is enabled for a meeting, everyone involved is notified that it will be joining, so it's never a surprise.

Can I edit or delete the AI note?

Yes. The summary is saved as a standard note on your loop, so you can edit, share or delete it just like any note you've created yourself.

What if the notetaker doesn't join or the notes don't appear?

Check that your calendar and Zoom or Teams accounts are connected, and that the meeting was booked as a Zoom or Teams meeting. If everything looks right and it still didn't work, contact your Program Coordinator or Mentorloop support.
