How to Schedule and Manage Meetings in Your 1:1 Loop

You can schedule a meeting within your Loop by navigating to the meeting section from your loop page, your Meeting tab, or tap the + icon at the bottom of your loop chat and select Schedule a meeting.

To schedule a meeting, navigate to the meeting section from your Loop page or the Meetings tab. From there, set:

  • Meeting topic — what you plan to cover
  • Meeting type — video call, Zoom, or MS Teams (if enabled on your program)
  • Date and time — see your partner's availability in green if you both have calendar integration connected

If you're using a video platform that isn't listed, select the video call option and paste your meeting link into the video URL field.

Once scheduled, your mentor or mentee receives an email notification and a prompt to add the event to their calendar.

AI Meeting Agendas ✨

If your program has AI enabled, you'll find AI-generated meeting agendas on your 1:1 Loop home page.

Suggestions are based on:

  • Your profiles: Including goals, skills, bio, expectations, and anything else captured. Make sure you keep this up to date!
  • Your previous meeting notes — topics you've discussed, goals you've set, and actions you've agreed on

The more you document in Mentorloop, the smarter the suggestions become. Think of it as a co-pilot for your prep, start with what AI surfaces, then shape it into something that fits where you and your partner actually are right now.

AI Meeting Notes ✨

If your program has both calendar integration and AI enabled, Mentorloop can automatically generate a summary of your meeting and save it as a Loop note, so you can stay focused on the conversation, not on capturing every detail.

After your meeting, you'll find:

  • A meeting summary saved as a note on your Loop, covering key topics, goals discussed, and actions agreed on
  • A transcript file saved to your Loop documents for reference

 

How do meeting reminders work in Mentorloop?

How you receive reminders depends on whether your calendar is connected.

If your calendar is connected: Meetings are automatically added as events to your calendar (Google Calendar, Outlook, or iCal). Reminders are handled by your calendar provider based on your own notification settings — Mentorloop doesn't send a separate reminder.

If your calendar is not connected: Mentorloop sends you an in-app reminder for any meetings scheduled in the platform, so you're still notified even without calendar integration.

For the best experience, connect your calendar. It also lets you and your partner see each other's availability when scheduling.

Can I set up recurring meetings?

Yes — and we recommend it. Recurring meetings help maintain momentum across your mentoring program. If you're using a Mentoring Agreement in your first session, use that conversation to agree on a cadence (for example, every four weeks) and set it up from there.

Can I log a meeting that's already happened?

Yes. If a meeting has already taken place, you can log it retroactively from your 1:1 Loop or the Meetings tab.

It's important to do this so that:

  • You have a record of your meetings, and can attach relevant notes to specific meetings
  • The system can suggest relevant resources and meeting agendas, based on your real progress
  • You generate the post-meeting survey, which keeps your program coordinator updated on your progress. 

Can I cancel or edit a scheduled meeting?

Yes. You can cancel or update any upcoming meeting you've scheduled from the Meetings tab. Note that you can only cancel meetings you scheduled yourself.
