Getting started with Mentorloop Pro

This guide covers everything you need to know to get your Mentorloop Pro program set up, launched, and running. Whether you're brand new to Mentorloop or joining an existing program as a new Program Coordinator, you'll find the key milestones, training resources, and support options here.

How onboarding emails work

Once your program is created, Mentorloop will send you a series of emails guiding you through each milestone in order. You don't need to do everything at once, follow the emails and you'll be set up for a successful launch.

What are the onboarding milestones?

Your Pro onboarding follows five steps from registration to your first participants joining. Most Program Coordinators complete Program Builder in as little as 10 minutes.

Step 1 — How do I register my program?

If you haven't already, create your program at app.mentorloop.com/register. This sets up your Program Coordinator account and opens Program Builder, where the real setup begins.

Step 2 — What does Program Builder involve?

Program Builder walks you through three decisions that form the foundation of your program: your matching style, your signup form, and your program branding.

Choose your matching style

There are three matching styles available on Mentorloop Pro. Blended is our recommended approach and is automatically selected when you start Program Builder, but you can change it at any time.

  • Blended (recommended): participants can find their own match via Self Match, while you retain the ability to step in and manually match anyone who needs a hand. Best for most programs.
  • Self Match: participants browse suggested matches and send match requests themselves. Lower admin overhead, but you'll want to monitor unmatched participants and nudge them along.
  • Manual Match: you create every match yourself from the Loops page. Gives you full control, but requires more hands-on time.

Choose your Program Theme and build your signup form

Rather than building a signup form from scratch, Mentorloop Pro uses Program Themes to do the heavy lifting. Each theme provides a pre-built signup form and set of matching rules drawn from the success of hundreds of programs. Mentorloop will suggest a theme based on your program goals, but you can explore all three and switch before you launch.

  • Classic: a great starting point for first-time programs or programs with multiple goals. Captures goals, experience, and areas of interest.
  • Diversity, Equity & Inclusion: designed for programs focused on equity and inclusion outcomes.
  • Community: suited to community-based or association programs.

Within each theme you can customise questions — adding your own answer options, making questions optional or required, and removing questions that aren't relevant to your program. For more detail, see Program Themes on Mentorloop Pro.

Updating your signup form after launch

Your signup form can be updated after launch, but changes may affect data mapping on existing participant profiles. If you update the form, you can send existing participants a profile review request to prompt them to review and update their information. Learn how to request a profile review.

Customise your program branding

Add your organisation's logo and choose a program colour to make the platform feel familiar to your participants. These settings can be updated at any time from your Program Settings after launch.

Step 3 — What should I do in demo mode?

Before you launch, spend some time in demo mode to build confidence and make sure your program is set up exactly how you want it. Here's what to do:

  • Invite up to three test participants using real or test email addresses. This lets you experience the Participant Dashboard firsthand, try out Self Match, and see what a 1:1 Loop looks like from the inside.
  • Review your signup form — register as a test participant and complete the form yourself to make sure the questions read clearly and collect what you need.
  • Customise your Program Settings — update your dashboard introduction message, automated participant messages (loop introduction and new match notification), and Recommended Reading.
  • Check your matching — create a test match between your test participants to see how the match view looks and confirm the matching experience feels right.

Demo mode time limit

Demo mode programs are automatically closed 90 days after creation. Complete your setup and launch before that window closes. All demo data and test participant accounts are permanently deleted when you launch, your Program Settings changes carry over.

Step 4 — How do I launch my program?

When you're happy with your setup, click "Launch Program" from your dashboard. Review the launch checklist for Mentorloop Pro first to make sure you haven't missed any key steps.

After launch:

  • All demo data, surveys, and test participant accounts are permanently deleted
  • Your signup form can be updated after launch — but changes may affect data mapping on existing participant profiles. Use the profile review request to prompt existing participants to update their information
  • Your program is live but participants can't join until you invite them
  • Your matching style, program settings, logo, colour, and automated messages remain editable at any time

Step 5 — How do I invite participants?

Share your signup form link with your mentors and mentees to get them registered. You can send the link directly, promote it through your internal comms, or use the bulk invite tool from your dashboard.
