Getting started with Mentorloop Enterprise

Welcome to Mentorloop Enterprise. Unlike our self-serve Pro plan, Enterprise is a fully supported partnership, your dedicated Customer Success Manager (CSM) works with you from day one to configure your program, train your team, and set you up for a successful launch. This guide is your central reference for everything you need to know about your onboarding journey, the resources available to you, and what's included in your Enterprise plan.

Your CSM is your first point of contact

What does Enterprise onboarding look like?

Your onboarding follows a structured five-step journey, led by your CSM. The timeline from first call to launch will depend on your program's complexity and any IT or integration requirements, your CSM will agree a target launch date with you in your first call.

Step 1 — What happens in the first onboarding call?

Your first onboarding call (approximately 45 minutes) is where we get to know your program and set the direction for everything that follows. You'll cover:

  • Program objectives and how you'll measure success
  • Key decisions: matching approach, recruitment style, and timeline
  • Your signup form requirements, what information you need to capture from participants
  • IT and integration requirements (SSO, HRIS, calendar, MS Teams), your CSM will share relevant resources with your IT team
  • Next steps and ownership for each action

To prepare, it helps to have a rough sense of your participant numbers, your program goals, and whether your organisation has any IT requirements such as SSO or a specific video conferencing tool.

Step 2 — How does the signup form get built?

Your Enterprise signup form is fully bespoke, built around your program's specific goals, participant data needs, and matching criteria. Unlike Mentorloop Pro, there are no fixed templates: every question, answer option, and matching rule is designed for your organisation.

The process works like this:

  • Your CSM sets up a demo program for you to explore before launch
  • You review the signup form in the demo and submit any requested changes via your program planner
  • Your CSM implements the changes and confirms them with you before launch

Updating your signup form after launch

Your signup form can be updated after launch, but changes may affect data mapping on existing participant profiles. If you update the form, you can send existing participants a profile review request to prompt them to review and update their information. Learn how to request a profile review. Contact your CSM before making post-launch form changes.

Step 3 — What does PC training cover?

Your second onboarding call (approximately one hour) is your dedicated PC training session. This is the most hands-on part of the onboarding process and covers:

  • A full walkthrough of the Mentorloop platform for Program Coordinators and Admins
  • Best practice guidance on matching, participant management, and program communications
  • A review of your finalised signup form, and any last adjustments before launch
  • Launch communications planning: timing, messaging, and how to promote your program
  • Matching process confirmation: Smart Match draft review workflow, or manual/self match setup
  • Any remaining questions and a clear list of actions before launch

To get the most from this session, we recommend completing the PC Academy training course and reading through the PC user guide beforehand.

Step 4 — What pre-launch checks are involved?

Before your program goes live, you and your CSM will confirm that everything is in order. An optional third check-in call (approximately 30 minutes) is available if you'd like a final walkthrough before launch day. Pre-launch checks typically include:

  • Registering yourself as a PC on the live program and reviewing your program settings
  • Confirming IT and integration setup is complete (SSO, calendar authorisation, Teams or Zoom)
  • Reviewing your launch communications and participant invitation strategy
  • Confirming your matching approach and timeline

Step 5 — What happens at launch?

Your program is ready to welcome its first mentors and mentees. You'll invite participants to register via your signup form link, or through direct invitation. Your CSM will schedule a post-launch check-in to review registration progress, discuss matching, and confirm next steps.

What's included in Mentorloop Enterprise?

Enterprise includes everything in Mentorloop Pro, plus the following features exclusive to Enterprise customers:

  • Bespoke signup form and matching algorithm: fully custom, built to your program's specific goals and participant data requirements
  • Smart Match: Mentorloop's AI-powered matching algorithm generates draft matches across your entire participant cohort for you to review and publish. Learn more about Smart Match

  • SSO (Single Sign-On) via SAML 2.0: supports Microsoft Entra ID and Okta, enabling participants to log in with their existing organisation credentials. Learn about SSO
  • HRIS/CRM integration: sync participant data with your existing HR or CRM systems. Learn about HRIS integration
  • Enterprise Connect (calendar): your organisation authorises calendar access at the domain level, so participants don't need to connect their calendars individually. Speak to your CSM to enable this.
  • Microsoft Teams integration: participants can launch Teams video meetings directly from within their loop. Learn how to connect Teams
  • Dedicated Customer Success Manager: ongoing partnership, regular mentoring reviews, and program support throughout your subscription
  • Quarterly Strategic Reviews: structured sessions with your CSM to assess program performance, surface insights, and plan ahead
  • Bespoke participant kick-off webinar: a co-hosted webinar with Mentorloop to launch your program, build participant confidence, and set clear expectations on mentoring best practice and how to use the platform

What IT and integration setup is required?

Depending on your organisation's environment, your IT team may need to complete some setup steps before or after launch. Share the relevant resources below with your IT team as early as possible, your CSM can help coordinate.

Your CSM can also co-host a bespoke participant kick-off webinar at launch to welcome your cohort and set them up for a strong start.
